Minutes of the Called Vestry Meeting

Emmanuel Episcopal Church

December 2, 2009

Following the interview for the consultant for the Capital Campaign, the Vestry convened for a brief meeting.

Present:  Father Robert Salamone, Father Edwin Beckham, Anne Brightwell, John Becker, Joe Clements, Phillip Cofer, Curt Collier, Dee Forester, Chuck Galis, Erwin Greene, Matthew Hicks, Vince Howard, Matt Humphrey, Marty Kemp, Nancy McDuff, Naomi Norman, Lisa Yarn

Father Robert called the meeting to order at 7:35 pm.

Nancy introduced the super draft of the 2010 budget which needed approval to begin compensating staff in January.

Motion:  Nancy moved that the Business Office proceed with this draft budget until the final budget is passed in 2010.

The motion was seconded and passed.

Fr. Robert distributed a list of those who had pledged last year and have not yet pledged for 2010.  He noted that if all of these units gave the same amount as in 2009, there would be a budget surplus.  Joe asked the Vestry to help contact these members.

Nancy suggested the following procedure:

1.      Send a formulaic letter to those who have not yet pledged saying we know they have pledged in the past and we are trying to wrap up this pledge season.

2.      Around January 5, send a personal letter to those who still have not pledged.

3.      At the end of January, the Vestry will make personal calls and there will be a form to use to transmit information back to Joe and Robert.

Dee added that pledge cards should be available at every entrance to the sanctuary.

Marty asked if absentee ballots would be accepted at the Annual Meeting.  Fr. Robert said this was not an option in the bylaws.

Vince asked about the process for voting on the candidates for capital campaign consultant for Vestry members who could not attend the meeting on December 6.  Fr. Robert said if someone absolutely could not be there, he would take a written absentee vote.

John reported that there is a shed behind the Youth Center that had belonged to Community Connection and had been given to Emmanuel when Community Connection moved.  People have been living in it using candles and this is a liability.  Melissa had found someone to move the shed for $500.  The Vestry asked John to pursue this.

Good of the Order:

Naomi asked that any contributions from the Vestry to the Club 45 project for Emmaus House be turned in by Friday, December 4.  Marty will take the Club 45 children to buy gifts on Saturday, December 5.

Naomi announced that the “Hail and Farewell” meeting of the current and newly elected Vestry will be on January 13 at 6 pm.  A Vestry meeting may be called in January since the Vestry Retreat is not until the end of January.

Robert offered that he was very grateful for the commitment of everyone to attending both interviews for the campaign consultant.  The Vestry will be in his prayers as they make a decision.

The meeting was adjourned at 8:10 pm.
